Overview

We are seeking a highly organized and personable individual to join our team as a full-time Receptionist at C Spire. The ideal candidate will be the first point of contact for visitors, clients, and employees, ensuring a professional and welcoming atmosphere. The Receptionist will handle various administrative tasks efficiently and effectively, contributing to the smooth operation of our office.

  • Welcome all visitors to the office with a friendly and professional demeanor. Direct visitors to the appropriate person or department and notify staff of visitor arrivals promptly using the Envoy visitor system. Occasionally assist customers in resolving issues or reaching appropriate department.
  • Manage incoming calls on a multi-line phone system, directing calls to the appropriate person or department. Provide information, take messages accurately, and ensure all inquiries are handled promptly and professionally.
  • Oversee the collection and distribution of incoming mail, packages, and freight, partnering with various recipients and department operations coordinators to ensure proper handling. Prepare outgoing mail and packages for shipment, ensuring accurate addressing and postage.
  • Responsible for the conference center and reception area, maintaining cleanliness, organization, and overall presentation at all times. Ensure all informational materials are stocked and current. Oversee the scheduling of the conference center.
  • Provide administrative support to various departments as needed, including data entry, filing, photocopying, and scanning documents. Monitor and replenish office supplies, including stationery, printer paper, and kitchen supplies. Coordinate with the appropriate department for ordering supplies as necessary.
  • Follow security procedures to ensure the safety and security of employees, visitors, and company property. Maintain visitor logs and issue visitor badges as required.
  • Foster and maintain strong relationships with vendors, both building and corporate, through regular communication and coordination, resulting in the formation of important relationships and facilitating connections with other groups within the company.
  • Support special projects and events as assigned by management, including coordinating logistics, preparing materials, and providing on-site assistance as needed.

Qualifications

  • REQUIRED
    • High school diploma or equivalent required; additional education or certification in office administration or related field preferred.
    • Excellent communication and interpersonal skills, with a professional and courteous demeanor required.
    • Strong organizational and time-management abilities required, with the capacity to prioritize tasks effectively.
    • Familiarity with basic computer applications, including Microsoft Office Suite (Word, Excel, Outlook) required.
    • Ability to work independently with minimal supervision and collaborate effectively within a team required.
    • Strong attention to detail and accuracy in completing tasks required.
    • Flexibility to adapt to changing priorities and willingness to take on additional responsibilities as needed is required.
  • PREFERRED
    • Previous experience in a Receptionist or Administrative role preferred.
    • Proficiency in using office equipment, including multi-line phone systems, copiers, and fax machines preferred.

 

PHYSICAL REQUIREMENTS/WORKING CONDITIONS: Must be able to sit for long periods of time and use computer keyboard and/or mouse, while viewing computer screen. Must be able to lift 15lbs, have finger/wrist/arm mobility, and finger dexterity.  Ability to work after hours or on weekends as needed.
